Maryland State Firemen's Association Convention Committee Request for Proposals September 16, 2012
The Maryland State Firemen's Association (MSFA) is soliciting proposals from vendors who are interested in providing trophies, plaques and awards that will be given by the association at our annual convention and conference along with events and activities throughout the year. The bulk of the items to be secured by the organization will be utilized as parade awards for the annual convention which will again be held in Ocean City, Maryland from June 16 to 22, 2013. For many years now, the MSFA has provided awards, plaques and recognition items throughout the year to commemorate the accomplishments of our member organizations. As an organization, we have never bid out these services, but wish to do so now in order to examine quality, services and pricing from all proposed bidders. This request for proposal will serve as an announcement of this change and interested bidders should prepare their proposed action plan and submit it to the MSFA Convention Committee, 2130 Priest Bridge Drive, Suite 6, Crofton, MD 21114 by December 1, 2012. All proposals will be evaluated by the Convention Committee and an award is planned to be let by January 1, 2013. The successful awardees will work directly with several association officers who will assist with logistical elements needed to make this transition as smooth as possible.
Program Elements
In years past the MSFA has purchased trophies, plaques and awards from several individuals with no specific relationship or business plan in place. The scope of this work will include trophies and plaques for the annual convention and conference. Recognition items to be given by the leadership of the association at events and activities they attend. Committee work is recognized with plaques and other keepsakes which are ordered throughout the year and will be a part of this bid proposal.
Interested bidders should provide an action plan on how they would be able to meet the components of this scope of work and provide a pricing schedule that is both competitive and flexible to the needs of the MSFA. All proposals should include a list of potential product items that would be offered under the terms of this agreement and a proposed delivery methodology that would be of benefit to the association. The MSFA understands that this is a new venture and the scope of this proposal is somewhat limited is specific details as there is not an organized structure to provide these products at this time. While the MSFA reserves the right to make this a one year agreement with the successful bidder, it is recognized by the MSFA that a multi-year agreement is a possible consideration and interest should be noted in the submittal if that is a possible element of interest for the bidder. Applicants are encouraged to be creative in their proposals as the MSFA is willing to look at a variety of delivery methodologies.
